Privacy Policy
What we collect through this website, why, and how it's handled — plus where to look for the more specific policy that applies once you engage one of our services.
Who This Policy Covers
This policy explains how Navigate Japan Limited ("NJL", "we", "us") collects and handles personal information through this website, navigatejapanltd.com — specifically, the enquiry form on this site, which lets you register interest across any of our group's services in one place. It does not replace the more specific privacy policy that applies once you actually engage one of those services directly; Section 5 explains how the two fit together.
Information We Collect
We only collect information you choose to give us directly, through this website's enquiry form.
| What we collect | When |
|---|---|
| Name and email address | When you submit the enquiry form |
| Which of our services you're interested in (selected from the form's checkboxes), and your message | When you submit the enquiry form |
We don't use cookies for advertising or tracking, and we don't collect information about you simply for browsing this site.
How We Use Your Information
- To respond to your enquiry.
- To route your enquiry to whichever of our services you've expressed interest in.
- To meet our own accounting and legal obligations, where an enquiry leads to a paid engagement.
We don't sell personal information, and we don't use it for anything unrelated to the above without asking first.
The Legal Framework
As a New Zealand company, NJL is subject to the Privacy Act 2020, built around Information Privacy Principles (IPPs). Following the Privacy Amendment Act 2025, there are now 14 principles, not the 13 originally enacted — a new principle, IPP 3A, took effect from 1 May 2026 and addresses information collected about someone otherwise than directly from that person.
Does Japanese law apply too?
Japan's Act on the Protection of Personal Information (APPI) can apply to businesses outside Japan that provide goods or services to people located there. This group-level site is available in Japanese and some of our services (Navigate Japan Stays, Navigate Business, Navigate Media) operate directly in Japan or serve Japan-based clients — those services' own privacy policies address APPI where it's directly relevant to what they collect. For this site specifically, direct data collection is limited to the enquiry form described in Section 2.
The Privacy Act's other principles cover, among other things: collecting information only for a lawful purpose (IPP 1); collecting it fairly and directly where practical (IPPs 2–4); keeping it secure (IPP 5); letting you see and correct your own information (IPPs 6–7); keeping it accurate and not for longer than needed (IPPs 8–9); and restricting further use, disclosure, and cross-border transfer (IPPs 10–12).
Our Group of Services and Their Own Policies
Navigate Japan Limited operates several distinct services, each with data practices specific to what that service actually does. This policy covers only this group-level website's own enquiry form. Once you engage a specific service directly, that service's own privacy policy applies to what happens next:
| Service | Where its own policy applies |
|---|---|
| Home & Heart Clearance / Property Management | Estate clearance and property management engagements, including tenant and owner data specific to those services. |
| Navigate Japan Stays | Guest and property-owner data, including guest-register information required under Japanese lodging law. |
| Navigate Vibes | Data collected through its own contact form, separate from this site's. |
| Navigate Business, Navigate Media | Client engagement data specific to advisory, facilitation, or content-production work. |
If you're asking about a specific engagement rather than this website itself, the relevant service's own policy — not this one — is the accurate source.
Data Retention and Security
We keep enquiry-form submissions only as long as needed to respond to you and route your enquiry appropriately. We take reasonable steps, consistent with IPP 5, to protect information against loss, misuse, and unauthorised access.
Your Rights
Under the Privacy Act 2020, you can ask to see the personal information we hold about you and ask us to correct it if it's wrong. Contact us using the details in Section 9 to do either — we'll respond within a reasonable time and may need to verify your identity first.
Changes to This Policy
We may update this policy as our group of services grows. The version number and date at the top of this page will always reflect the current version.
Contact Us and Complaints

If you're not satisfied with our response, you have the right to complain to the Office of the Privacy Commissioner in New Zealand.
